Privacy Notice
This notice explains existing Sustin newsletter subscriptions, Ask Sustin, contact enquiries and personal information processed when you visit this website, sustin.net.
SUSTIN C.I.C. operates this website and is the controller for these activities. For privacy questions and requests, contact [email protected]. Our registered details and the separate responsibilities of Sustainable Intelligence ASBL are in the Legal Notice.
Contact enquiries
- Information and purpose
- We use your name, email address, optional organisation, selected enquiry topic and message to understand and respond to your enquiry and arrange relevant follow-up. Providing these details is voluntary, but the required fields are needed to send the form and reply. Please do not include confidential or sensitive information.
- Responsibility and legal basis
- SUSTIN C.I.C., as website operator, runs the form. Enquiries are received in the [email protected] mailbox held by Sustainable Intelligence ASBL, which answers research, collaboration and advisory enquiries and is responsible for its own response and engagement records; Sustin and technical enquiries are passed to SUSTIN C.I.C. We rely on legitimate interests in answering requested enquiries and managing professional relationships; where you ask to enter a contract personally, we also process necessary information to take steps at your request before that contract.
- Recipients and handling
- Enquiries are received in the [email protected] mailbox held by Sustainable Intelligence ASBL and accessed by authorised people handling the relevant subject. Contracted website infrastructure, security, email delivery and mailbox providers process the information needed to transmit, protect and manage the correspondence. The website does not keep enquiry content in its application records or logs. Sending a message does not create a profile, subscribe you to any newsletter, add your details to subscription records or send your message to an AI service.
- Retention
- Enquiry correspondence is kept only as long as needed to resolve the enquiry and any agreed follow-up. If it leads to an engagement, relevant correspondence becomes part of that engagement’s records. Limited records may be retained where necessary for contractual obligations, applicable legal requirements or the establishment, exercise or defence of legal claims; unnecessary correspondence is deleted. Short-lived security identifiers and submission status are used for up to 10 minutes to limit abuse and repeated submissions, without retaining the message content in those records. Delivery and mailbox providers also handle operational records under their applicable service and security requirements.
- Your choices and rights
- You can email [email protected] instead of using the form, ask us to stop follow-up, or request access, correction, deletion or restriction. You have the right to object to processing based on legitimate interests. See Your rights and contact and International processing and safeguards below. No automated decision with legal or similarly significant effects is made from your enquiry.
- Development previews
- Development previews accept fictional test details and simulate delivery. They do not send enquiry emails. The security verification provider still processes the technical information described below.
Sustin newsletter & product updates
New sign-ups for Sustin are now at sustin.ai, under the privacy notice published there. Sign-up on this website has closed. Existing subscriptions are unchanged: this section continues to apply to them, and you can unsubscribe at any time.
- Purpose and legal basis
- With your consent, we use your email to send ongoing Sustin newsletters and product updates, including access-opening announcements and relevant early-access or testing opportunities. Consent is optional and can be withdrawn at any time. Subscribing does not create a profile or subscribe you to unrelated Sustainable Intelligence, SSC or other mailing lists. Earlier launch-only consent is not treated as consent to this ongoing subscription.
- Information we use
- Your email address, subscription and consent details, when and where you subscribed, the notice you agreed to, and information needed to manage unsubscribe requests. We do not request a name, CV, password or uploaded files.
- Recipients
- Authorised SUSTIN C.I.C. personnel and contracted website infrastructure, data-storage and security providers may process subscription information for these purposes. Providers use authorised subprocessors under applicable data-processing terms. No external newsletter-delivery platform is currently connected; this notice will be updated before adding a provider that receives subscriber data. We do not sell subscription records or use them to train AI models. Email addresses are not included in our application logs.
- Retention and withdrawal
- We keep active subscription records until you unsubscribe, withdraw consent, or the Sustin newsletter or service is discontinued. Use the unsubscribe link in a Sustin communication, visit our unsubscribe page, or email [email protected] from your subscribed address. Once processed, we stop newsletter and product-update communications and remove your active record.
- Honouring your opt-out
- We retain a minimal pseudonymous identifier associated with your email and the opt-out date, only as needed to prevent accidental re-subscription while the service operates. It is not an active subscription or used for sending communications. Our legal basis is our legitimate interest in respecting your withdrawal and preventing unwanted messages. It is removed when the service is discontinued. Contact us to give fresh consent if you later wish to re-subscribe.
- Recovery copies
- Deleted records may remain in restricted recovery copies for up to 30 days. They are not used for communications, and withdrawals must remain effective if records are restored.
Consent wording
I consent to SUSTIN C.I.C. emailing me ongoing Sustin newsletters and product updates, including access, early-access and testing opportunities. I can unsubscribe at any time. No unrelated Sustainable Intelligence, SSC or other mailing lists.
Ask Sustin
Ask Sustin, a preview of Sustin, helps you explore published information from sustin.net, i5benchmark.com and sustin.ai. Do not submit confidential or sensitive information, or personal details that are unnecessary for your question.
- What AI processes and why
- When you send a question, its text and a short recent conversation history are processed to generate a relevant answer using public source material. Our contracted AI processing provider processes this information on our behalf. Infrastructure and security providers also process technical information needed to deliver and protect the service. Our legal basis is our legitimate interest in providing a useful, secure public information service. Using the assistant is optional; you can read the source pages instead.
- Data-handling limits
- We do not retain visitor questions or AI answers in our application records or logs. Recent conversation history stays only in the current page and clears when you reset it, reload it or close it. We keep service-usage measurements without question or answer content. Chat input is not used to create profiles, subscribe you to newsletters, add to subscription records or build our public reference collection. We do not use conversations to train AI models.
- Provider processing
- Our AI processing provider uses the submitted information to supply the answer. Its service and security processing is separate from our application records; clearing a conversation does not undo processing that has already occurred. The applicable AI data-use terms explain how submitted content is handled, including that it is not used for model training or service improvement without explicit consent. AI processing is not restricted to the EU.
- Your choices
- You can stop an answer, clear the conversation or use the source websites directly. As we do not retain chats, we cannot retrieve earlier conversations. AI answers can be inaccurate; check the cited sources. The assistant does not perform formal certification, a completed assessment or automated decisions about you with legal or similarly significant effects.
Website visits and security verification
Our website infrastructure and security providers process technical information such as IP address, browser and device information, requested pages and request times to deliver the website and protect it against abuse. We rely on our legitimate interests in operating a reliable, secure website. We do not use this information for advertising profiles.
The subscription and contact forms use Cloudflare Turnstile for third-party security verification. Cloudflare processes browser, device and network signals, including IP address, to distinguish legitimate visitors from automated abuse. Cloudflare acts on our behalf for verification and as a separate controller when improving its bot-detection service. See the Cloudflare Turnstile Privacy Addendum and Cloudflare Privacy Policy for its processing, retention criteria and rights information.
Fonts and icons are served from this website; pages do not load them from third-party delivery services. See also our Cookie Policy.
International processing and safeguards
Subscription records are held in the EU, but this does not mean that all website, enquiry correspondence, security or AI processing takes place there. Service providers may process information in the United States and other countries outside the UK or EEA.
The data-processing terms applicable to our infrastructure, security and AI services provide for transfer protections, including recognised adequacy arrangements and, where required, Standard Contractual Clauses and the UK Addendum. They also cover confidentiality, security and subprocessors. The linked provider privacy information describes other relevant international processing. Contact us for information about the safeguards applicable to your data. Access to information is limited to the people and providers who need it for the purposes described here.
Your rights and contact
Contact [email protected] to request access, correction, erasure, restriction or portability where applicable, or to object to processing based on legitimate interests. You may withdraw newsletter consent at any time without affecting earlier lawful processing. Providing a subscription email or a chat question is voluntary; without it, we cannot supply the corresponding subscription or answer.
You may complain to the UK Information Commissioner’s Office or your relevant supervisory authority. We may need enough information to verify a request while protecting other people’s data.
